Reply to a quote — step by step

From an Outlook message to a reply in your tone.

The quote sounds interesting, but the delivery time is missing. VI Assist helps you prepare a specific reply. You keep track of the message and decide whether to send it.

Choose the right content to start with.

Connect Outlook email in the Permissions Center. Select the relevant message and separately authorize AI analysis of the content you want. Then make a specific request: say thank you, ask about delivery time, don't send anything yet.

Illustrative email example, with no connected email account. Outlook requires Smart, Pro or Individual. Reading, AI analysis and sending are authorized separately. Nothing is sent here.

Virtual assistance for everyday office work

Small requests. Clear results.

You don't need to learn commands. Start with a clear task and review the next step.

Discuss the emails you choose

Connect your Outlook email account and select the content you need. With separate AI permission, VI Assist helps you understand it and suggests next steps.

You could ask it like this„Which of these authorized messages need a reply? Prepare suggestions and don't send anything yet.“

Make quotes easier to review

Provide the relevant text or selected emails. Ask for a summary of amounts, contract periods and open questions, then check it against the original.

You could ask it like this„Compare these quotes. Point out missing information instead of filling it in.“
Write precise requests

Choose how to sync appointments

View supported appointments from your primary Outlook calendar in VI Assist. Writing to the provider requires additional permissions, a selected mode and the right destination.

You could ask it like this„Prepare an appointment to discuss the quote. First ask for the date, time and destination calendar.“

Connect. Understand. Choose what to allow.

A Microsoft login opens your account. You then authorize access to emails and calendars separately — with Smart, Pro or Individual.

    Set the scope

Start by viewing selected messages or supported appointments. Authorize AI analysis separately. A connected account does not authorize every action.

    Review the result

Check your email draft before confirming that it should be sent. For calendar changes, choose permissions, destination calendar and sync mode carefully. You can revoke permissions.

Appointments follow a clear process too

One appointment. One chosen calendar. A clear overview.

Prepare the meeting to discuss the quote and specify the date, time and duration. Then check the destination calendar and sync mode.

Connecting a calendar does not automatically grant write access. Changes at the provider require additional permissions and an enabled mode.

Set up calendar sync step by step

Google: Sign-in and registration are available. Gmail and Google Calendar remain limited to approved test accounts in the demo/pilot programme.

Calendar sync: Supported appointments in the primary calendar cover seven days in the past to 90 days ahead. Updates run approximately every five minutes; recurring events are read-only, and all-day events remain with the provider.

Browser & mobile view

Your work overview. On the go too.

Plan in the browser at work and open your account in the mobile view later. Saved tasks and your own entries stay linked to your account. Set up device permissions where you need them.

The Windows companion is available to download. The Android app is being trialled as a test app; a native iPhone app and public app store releases will follow.

For the Android test app, currently set up new provider permissions in the browser first, using the same VI Assist account.

Your assistant. Your decisions.

Get help preparing. Check what matters yourself.

Set the tone, rules and areas to suit your everyday life. A request does not extend provider permissions. Your review and the specific permissions remain essential for important results.

Ask another question
Is VI Assist a virtual assistant for businesses?

VI Assist provides AI support for organizing your own office work: organizing tasks, discussing selected content and preparing email drafts. It is software, not an outsourced human assistant. Shared team accounts, a full CRM and unrestricted access to company data are not automatically included.

Does the connection work with Microsoft 365 and Exchange?

The Outlook connection uses Microsoft Graph for supported Microsoft accounts. For Microsoft 365 or Exchange Online, your organization may require additional administrator approval. This does not automatically support an on-premises Exchange server.

Can the assistant send emails on its own?

A request can prepare a draft. Sending requires valid provider permissions and separate authorization. You review the specific message and confirm sending. The assistant does not send emails simply because an email account is connected.

Are Outlook and Google fully synchronized with each other?

No. You choose the calendar and sync mode carefully. Supported primary-calendar sync uses a limited time window; recurring events are read-only and all-day events remain with the provider. Google Calendar is currently available only through approved demo/pilot access. The calendar guide explains the details.

Are there tailored solutions for our business?

You can enquire about your workflow, such as future website assistance or an industry-specific use case. These services are discussed first and agreed separately. They are not an automatically included team or website package.
